PURPOSE OF THE JOB:
To act as a Receptionist at the Enquiry Desk to ensure that all persons are dealt with expeditiously and the service to the public is enhanced.
MAIN RESPONSIBILITIES:
• To be the first point of contact for all enquiries at the Enquiry Desk and to direct the person to the appropriate section for the necessary action, in order to reduce the waiting time of members of the public.
• To deal with all items of lost and found property reported to the Station and to maintain the register in relation to the above.
• To assist in the maintenance of Found Property Store in conjunction with the Admin Department, and to administer the records relating to same, in order that items correspond with the records.
• To deal with all reports of lost and found dogs and maintain the registers in connection with them, in order that a record may be kept of these.
• To ensure that all visitors entering the secure area of Police Station are issued with the appropriate security badge and to maintain the visitors register in order to prevent unauthorised access.
• To deal with document productions and to report where necessary.
• To deal with those enquiries at the desk which require minimal time and do not require a Police Officer's attention, e.g. street directions in order to reduce waiting time of members of the public.
• To deal with reported Road Traffic Accidents which do not require Police attention.
• To assist with other administrative and clerical functions as required to ensure Area efficiency and optimum use of post holder's time.
NOTE :
The job description reflects the major tasks to be carried out by the post holders and identifies the level of responsibility at which the post holder will be required to work. In the interests of effective working the major tasks may be reviewed from time to time to reflect changing needs and circumstances. Such reviews and other consequential changes will be carried out in consultation with the post holder. The post holder will also be required to carry out such other duties as may be determined from time to time to be within the general scope of the post.
CONDITIONS OF SERVICE:
The appointment will be full time and subject to the Conditions of Service of the National Committee for Support Staff.
The annual leave entitlement is 22 days with an additional 5 days after 5 years continuous service. Part time employee's annual leave entitlement is pro-rata to full time employees.
